Realizing Dreams with Security and Confidence Since 1988 Embracon is one of the largest and most awarded consortium administrators in Brazil.
Embracon, a Brazilian company in the financial sector, began its journey into the world of RPA about three years ago. Initially, automations were implemented with a low-code platform, but challenges soon emerged: high licensing costs, limitations in process management, and lack of technological flexibility. These factors revealed that the model did not fully meet the needs of a growing operation.
In this context, the company sought a more robust solution that would allow scalability, greater speed, and more efficient control of automations. To ensure a sustainable and strategic automation structure, Embracon created its RPA Center of Excellence (CoE), strengthening process governance and driving the adoption of intelligent automations. With this initiative, the company was able to consolidate automation as an essential pillar for operational efficiency and continuous innovation.

Embracon Accelerates Its Intelligent Automation Journey with BotCity, Achieving Greater Efficiency and Significant Savings
In 2023, Embracon found the ideal partner in BotCity to transform its RPA operations. The migration to Python with BotCity’s orchestrator was a strategic decision that marked the beginning of a new phase for the company. With this transition, Embracon achieved significant improvements in efficiency and control over automated processes, benefiting from a high-performance solution with reduced costs.

Solution: Innovation and Humanization of Processes
One of the innovative initiatives adopted by Embracon was assigning identities to the bots. Each bot received a name and a specific personality, creating a closer connection with employees who work directly with automations. This strategy led to bots being seen as "team members," promoting greater engagement and enthusiasm among staff.
One of the first was Matt, a bot designed to optimize the credit analysis process—an essential activity for Embracon. Previously, this process involved manual steps that took an average of 27 minutes per operation. With Matt, execution time was reduced to less than three minutes, saving over 12,000 work hours annually.
Another highlight is Dudu, the bot responsible for creating partnership contracts. This automation drastically reduced the time the legal team needed to draft and manage contracts, allowing professionals to focus on strategic, high-value tasks.
Artificial Intelligence in Service of Efficiency
The incorporation of artificial intelligence (AI) into Embracon's automated processes, in collaboration with BotCity, has brought significant operational and strategic advancements. Developed in Python, the AI was seamlessly integrated into BotCity's ecosystem, ensuring full compatibility with the orchestrator and existing automations.
This combination enabled the application of AI in essential tasks such as financial reconciliation, automatic document classification, and decision support in complex processes through machine learning. The technology also facilitated the use of natural language processing (NLP) to interact with internal and external systems, automating queries and sending precise notifications.
With AI-powered intelligent automation, Embracon achieved:
- Reduction of human errors in high-volume processes, minimizing the risk of fines and rework.
- Acceleration of deliveries, enabling greater agility and productivity in large-scale operations.
- Compliance assurance, ensuring that all critical processes align with regulatory standards.
- Operational scalability, allowing growth without a proportional increase in costs.
By combining AI and intelligent automation in Python, Embracon enhanced the accuracy and agility of its processes, freeing its teams to focus on higher-value strategic activities.
Results
From a financial perspective, Embracon achieved an annual savings of approximately R$1 million, with a return on investment (ROI) of 308% and a payback period of just 13 months. These results confirm the value of Python automation combined with BotCity’s orchestration, enabling not only operational efficiency but also planned scalability for the future.
Future: Expansion and Support
With a team of eight professionals dedicated to RPA and support from four partners (three of them certified by BotCity), Embracon is well-positioned to further expand its automation operations. For 2025, the company plans to migrate to an enterprise model and implement a body shop structure to sustain expected growth and maximize the benefits gained from automation.
BotCity’s active community has also been a key differentiator for Embracon. The support and knowledge exchange among automation professionals create a collaborative environment that helps with quick issue resolution and continuous team development. This close relationship with BotCity and ongoing support are strategic elements that strengthen Embracon’s operations and drive constant innovation.
